The mission of The Advocates for Human Rights is to implement international human rights standards to promote civil society and reinforce the rule of law. By involving volunteers in research, education, and advocacy, we build broad constituencies in the United States and select global communities.
Position Summary:
The Executive Administrative Assistant provides support to The Advocates for Human Rights, facilitating the success of the mission and administrative goals of the organization. Working closely with the Administrative Team, they help ensure effective organization-wide operations.
Primary Duties and Responsibilities:
Work with the Administrative Team to:
- Provide general administrative support for The Advocates’ office operations.
- Provide support for office meetings and events, including ordering food, room set up, and technology support.
- Assist with day-to-day finance support.
- Assist with managing deposits, invoicing, and bill paying.
- Work with outside accounting firm to reconcile monthly organizational expenses.
- Assist with preparing for yearly organizational audit.
- Oversee supply monitoring and ordering, postage and mail, and similar tasks.
- Respond to/manage inquiries sent to the main organization email inbox.
- Assist with the onboarding process for new staff as needed, including preparing office spaces and distributing materials to new staff.
- Other duties and responsibilities as assigned.
Provide support to the Executive Team by:
- Assisting with meeting scheduling for executive team as needed.
- Handling meeting arrangements.
- Drafting emails, letters, and other correspondence.
- Assisting with travel arrangements as needed.
- Attending bi-monthly Board of Directors meetings and yearly Board Retreat to provide meeting support.
- Assisting with other projects as needed.
Qualifications
- Education and/or experience in non-profit administration.
- Excellent organization and time management skills, including the ability to meet deadlines and manage competing priorities.
- Strong written and verbal communication skills.
- Ability to proactively anticipate and identify emerging needs.
- Strong problem-solving skills and ability to seek out answers that are not readily available.
- Strong computer skills, including proficiency with Microsoft Office applications (Word, Excel, SharePoint).
- Careful attention to detail and willingness to do what it takes to get the job done right.
- Ability to build strong relationships with The Advocates’ diverse staff and community.
- An interest in human rights, social justice, and building the local and international human rights movement.
Compensation
Compensation is commensurate with experience. Generous benefits package currently includes vacation (employees accrue 3 weeks of vacation during their first year, and up to 6 weeks after 5 years employment), 3 personal days, and 11 paid holidays, 2 weeks of accrued sick leave annually, 6 weeks paid parenting leave; employer-paid premiums for medical, dental, and long-term disability/AD+D/life insurance; and pre-tax retirement plan.
Location and Status
- This position works in our downtown Minneapolis office.
- This position is not eligible for fully remote work.
- This position is represented by the Office of Professional Employees International Union, Local 12.
- This is a non-exempt position.
